Resolving the error "Name [...] is already taken" when adding a user
Who is this article for?
Administrators who encounter this error.
Administrator permissions are required to resolve the issue.
When creating a new user, you might see the error message Name [...] is already taken.
This article explains the cause and solution for this issue.
1. Issue
The email address you add must be unique across the Disclose system. If it’s already in use, you’ll see the error Name [...] is already taken when you click Add.
This typically occurs:
- If the user is already in your tenant.
- If your organisation has multiple tenants and they exist in another one.
- In global organisations with regional tenants, where the user is in a different region's tenant.
2. Solution
To resolve this, first identify where the user already exists:
- Search for users in your tenant by surname or first name.
- If your organisation has function-specific tenants, consult Disclose administrators in those tenants.
- For regional tenants, ask the user which tenant they belong to and check with that administrator.
In cases (2) and (3), the existing user must be deleted before adding a new one. The Disclose administrator must ensure a GDPR-compliant deletion.
