Gaining access when all administrators have left
Who is this article for?Users requiring access to administrator functions.
Local IT access is required for the solution.
In situations where all administrators have departed, regaining access to your system can pose challenges. This guide provides a clear path to reclaiming control, outlining the necessary steps for regaining administrative access in the absence of prior administrators.
1. Gaining access
When the Administrator, typically responsible for user access, is unavailable due to reasons such as departure or long-term absence, Ideagen cannot directly access a customer's system to 'unlock' users or modify roles. In such cases, a customer seeking Administrator access must go through their Administrator's user account, usually necessitating a password reset, which requires mailbox access.
Here are the steps to achieve this:
-
Identify administrators:
- To find a list of administrators for your organisation, log in to Disclose and visit the Help screen at Help Screen Link.
Note: You must be logged in to Disclose in order for this screen to show you your administrators, otherwise it will show only the user guide and release notes.
-
- This will display a list of users with the Administrator role, and each name is a clickable link revealing the user's email address.
-
Password reset process:
- Visit the Disclose login page at Disclose Login Page.
- Click on Forgotten your password.
- On the next screen, input the Administrator user's email address and click Email Link.
-
Password reset email:
- This action triggers a password reset email to be sent to the Administrator user.
- Someone with access to their mailbox should:
- Open the email.
- Click on the link contained within.
- Reset their password.
- Log in to Disclose using their username and the new password.
- Create new users or grant Administrator rights as needed.
- These steps ensure a secure and effective process for granting Administrator access when the primary Administrator is unavailable.
