Preparing answer set reports

This article shows you where you can generate and view reports.
1. Accessing reports
To access reports, go to the Reporting section of the main Administration menu.
Here, you can request or view a previous report. You can also run a report by clicking the Reporting icon from the Answer Set page.
2. Requesting a report
You can request a report in the Request Report section.
To request a report:
- Choose a Report Type.
When running a Checklist report, you can choose to include additional details, such as comments. - Select the Client.
- Select the Answer set you want to run this for.
You can also leave these with default values if you're looking for a general report. Accessing this report from the Answer Set page will automatically fill in the default details you have selected on screen.
'Assumptions' come pre-checked by default, indicating that the report will incorporate the specified tailoring assumptions.
- Click Generate.
Alternatively, you can choose to only generate a preview.
Once you've generated the report it may take a few minutes to generate, showing as Added.
When the report is ready, the status will change to Ready.
You can delete the report at any time by selecting the option from the actions menu.
3. Filtering a report
The report can be filtered to show the following:
- All untailored
- All applicable questions
- Unanswered
- Problem answers
- Alert answers
- Comments
- Exceptions and comments (exceptions being the problem and alert answers).
There is the option to include comments, help text, section stats, local notes, source references, and why asked in your report by selecting the boxes.
‘Section Stats' will display the breakdown of the unanswered questions, warnings, and alerts per checklist section.
From within the report view, you can select Go to Question, which will open the Answer Set and allow you to amend the question.
You can also select to add comments to the report before exporting. These comments will display but will not export unless you select comments to display.
If changes to the questions are made you will need to refresh the report.
This option can only be taken if you are assigned to the checklist i.e. you have created it, claimed it or it is in review mode, and you are the Reviewer.
4. Viewing a report
You can view all reports you have requested in the View Report section.
We advise deleting reports once you no longer need them. Once a day, a service runs and cleans up any reports with the Expired status (i.e. those over 24 hours old).
5. Exporting a report
You can export reports to create a local offline copy or print the report out.
To export a report:
- Open the actions menu.
- Choose one of the available options.
- Documents will save to the Downloads folder.
Depending on your settings, PDF files will usually open first to allow you to then save the document in the correct place.
Note: When running a main Checklist report, if you do not wish to include the Tailoring Assumptions as part of that report, untick the option in the Options.
