Managing users

To manage users in Disclose, you can use the built-in user management system to create, edit, and delete user profiles, as well as assign or revoke access permissions, ensuring efficient control and security of your platform. This article does not explain how to upload users from a CSV, please see Importing users from a CSV.
1. Manage users
On the Manage Users screen, you have the option to filter your view to display a specific group of users. Additionally, you can utilise the search function to locate users by their name.
Note: If you have filtered the view, the search will be on that filtered view only. You will therefore need to reset the filters to Show All to search all the users.
- To add a user, click the plus button .
- Enter the user's details, assign their role, specify group memberships, and choose the checklist bundle for their licenses.
- For individual user actions, like resending confirmation emails or deleting users, hover over the user, click the relevant button, and select the desired option.
- For bulk user import, click the Import User button, and import users along with their roles, groups, and licenses by uploading a CSV file.
2. User details
- If you hover your mouse over a user, an arrow will appear next to their status.
- Clicking on this arrow provides the option to view their details by selecting Details.
- This will display the user's name, email address, language preference (culture), their assigned roles, group memberships (e.g., managers group), and the checklists they have access to (licenses).
- Additionally, you can see their last login information and any failed login attempts.
- You can also click on GDPR, which offers information about personally identifiable information (PII) and allows you to delete a user and export their PII.
- When a user is deleted, their name will be replaced with GDPR deleted throughout Disclose.
- To navigate, you can use the navigation arrows or click on the user index icon to return to the main user screen.
3. Edit user
- Hover over the relevant user, click the down arrow icon .
- View the user details by selecting Edit.
- Select Edit User from within the details screen if you select the pencil icon .
- A pop up box will appear allowing you to edit the details.
- You can also disable the user in this section which prevents them from logging into the system.
